This Privacy Policy describes how COZYHEAT SERVICES LLC ("we," "us," or "our") collects, uses, stores, and protects your information when you use the LoopChat mobile application and website (collectively, the "Service"). By using LoopChat, you agree to the practices described in this policy.
2. Information We Collect
Account Information
When you create an account, we collect your email address, username, display name, and profile photo (optional). If you sign up via a third-party provider, we receive basic profile information as permitted by that provider.
User-Generated Content (UGC)
LoopChat is a community platform. We collect and store content you create, including:
- Messages, posts, and comments in groups and channels
- Voice room participation metadata (not recordings unless you explicitly opt in)
- Photos, links, and media you share
- Marketplace listings and event details
- Reactions, likes, and interaction data
Device & Usage Information
We automatically collect device type, operating system, app version, IP address, and usage patterns (features used, session duration) to improve the Service and ensure security.
Device Contacts
LoopChat does NOT access, upload, or store your device contact list. We do not use your phone's address book to find friends or suggest connections. Any friend-finding features operate solely through in-app usernames and invite links that you choose to share.
3. How We Handle User-Generated Content
Your UGC is stored on secure servers and is associated with your account. Here's how we process it:
- Display & Delivery: Content you post is delivered to members of the groups and channels you participate in, as intended by you.
- Moderation: All UGC is subject to automated scanning (AI-based) and human review when flagged. Content violating our Community Guidelines may be removed, and associated accounts may be restricted.
- AI Recommendations: We analyze your in-app activity (groups joined, topics engaged with) to power our AI recommendation engine. This analysis is performed on aggregated, anonymized patterns — we do not share your individual messages with third parties for AI training.
- Legal Requests: We may disclose UGC if required by law, court order, or to protect the safety of our users and the public.
4. Reporting Mechanism
LoopChat provides robust tools for reporting harmful content and behavior:
- In-App Reporting: Tap the "⋯" menu on any message, profile, or group to report. Select a reason (harassment, spam, illegal content, etc.) and optionally add details.
- Review Timeline: Reports are prioritized by severity. Critical safety reports (threats, CSAM) are escalated immediately. Standard reports are reviewed within 24 hours.
- Outcome Notification: You will receive an in-app notification when your report has been actioned, including the action taken (content removed, user warned/suspended/banned).
- Appeals: If your content or account is actioned, you may submit an appeal through Settings → Account → Appeal within 30 days.
- External Contact: For urgent safety concerns, email cedar@cozyheatservicesllc.online with "URGENT REPORT" in the subject line.
5. Data Retention
We retain your data only as long as necessary:
- Active Account Data: Retained for the duration of your account's existence.
- Messages & Posts: Retained while your account is active. Deleted messages are removed from live views within 24 hours and purged from backups within 30 days.
- Deleted Accounts: Upon account deletion, personal data is anonymized or deleted within 30 days. Some anonymized, aggregated data may be retained for analytics.
- Moderation Records: Reports and moderation actions are retained for 12 months for accountability and legal compliance.
- Server Logs: IP addresses and access logs are retained for 90 days for security purposes, then automatically deleted.
6. Data Sharing
We do not sell your personal information. We share data only in these limited circumstances:
- With service providers who help us operate LoopChat (hosting, analytics) under strict data processing agreements
- When required by law or to protect rights, safety, and security
- With your explicit consent (e.g., sharing a profile link externally)
7. Your Rights
Depending on your location, you may have the right to:
- Access a copy of your personal data
- Correct inaccurate information
- Delete your account and associated data
- Export your data in a portable format
- Opt out of AI-powered recommendations
- Object to certain data processing activities

8. Security

9. Children's Privacy
LoopChat is not intended for children under 16. We do not knowingly collect data from users under 16. If we learn that we have collected data from a child under 16, we will delete it promptly.

We may update this Privacy Policy from time to time. Material changes will be communicated via in-app notification and updated on this page with a revised "Last updated" date.
